New Policy on Use of Vehicles Goes Into Effect March 1 2010

Beginning March 1st, 2010 the university will adopt a new policy on use of university owned and personal vehicles. This policy will apply to anyone operating a vehicle on university business and thus it is imperative that everyone be familiar with this policy.

It is highly recommended that everyone review this information.

The policy along with highlights is listed below.

The highlights of the policy include the following: 

  • Revised form 17 (authorization to travel) that includes a box to self evaluate your driving record. New form 17 attached (note box 18 asks for driver certification and can only be certified by the traveler)
  • Employees will be asked to self evaluate their driving record with the criteria listed in the link below as a factor

  • Employees who fall in the “Conditional” or “Unacceptable” category should notify their supervisor right away so he/she can contact Risk Management for further evaluation.
  • Motor vehicle record checks are required for Grad students, undergrads and volunteers operating vehicles. In addition they are also required for any staff member who routinely operates a University vehicle five times or more per week and those whose job description requires the possession of a valid driver’s license.
  • Policy applies to University owned vehicles as well as personally owned vehicles
  • For definition purposes in the policy Students are both Graduate and Undergraduate. 
    *It is important for grad students, undergraduates and volunteers who use vehicles to ensure the business office is notified in enough time to get a motor vehicle record check completed.
    **The exception to the policy is the running of errands for which no travel authorization has been requested. Although you are still expected to be in compliance with policy and a qualified driver.
